POSITION OVERVIEW
Reality Changers empowers youth to become first-generation college graduates and changemakers in their communities. Serving over 500 students annually and supporting a network of 3,000+ program graduates, the organization is dedicated to educational access and success in San Diego County.
The Volunteer & Outreach Manager plays a pivotal role in strengthening connections between students, volunteers, interns, donors, and alumni. This position leads volunteer and intern recruitment, coordination, and engagement while managing outreach initiatives, event-specific social media content, and in-kind donations. Additionally, they foster relationships with volunteering donors and external stakeholders to enhance community involvement and support.
Reporting to the Senior Vice President, the Volunteer & Outreach Manager will drive stakeholder engagement efforts, ensuring that Reality Changers continues to expand its impact and reach.
KEY GOALS AND SUCCESS MEASURES
- Recruit and retain mission-aligned volunteers.
- Enhance volunteer engagement and effectiveness through ongoing training and development.
- Support programmatic and development efforts through event organization and volunteer recruitment.
REPRESENTATIVE DUTIES

RESPONSIBILITIES
1. Volunteer Management (50%)
- Recruit, onboard, and retain volunteers for tutoring, mentorship, and other programs.
- Maintain, develop, and administer clear volunteer on-boarding and retention strategies, including coordinating with Human Resources on the application process, background checks, orientation, tracking, volunteer recognition/appreciation, ongoing training and development.
- Develop, evaluate and maintain volunteer policies, programs, training, and recognition strategies. Recommend improvements.
- Administer the tutor program, collaborating with staff and local partners to align volunteer efforts with organizational goals.
- Support alumni programs by co-managing initiatives such as professional mentorship and leadership development opportunities (e.g. co-manage Alumni Professional Mentor Program, other Alumni leadership and professional development programs, delegates, etc.).
- Manage and maintain volunteer records, applications and reporting in the organizationโs CRM system (e.g., Salesforce).
- Maintain records of alumni engagement/interactions in programs (e.g. Tutors, Volunteers, Mentees, Interns, and Delegate participants).
- Foster consistent communication with the volunteer community through events, newsletters, and other channels.
- Utilize volunteer management software to track shifts, monitor attendance, track hours, and maintain accurate calendars for staff reference.
- Collaborate with various departments to ensure adequate coverage and efficient deployment of volunteers across all sites to meet operational needs.
- Prepare and deliver regular reports to the Senior Vice President on volunteer engagement, scheduling efficiency, and recruitment outcomes.
- Create and send out communication to volunteers about upcoming opportunities, shift needs, and other scheduling updates.
- Develop content and resources (e.g., newsletters, training materials) to foster a positive and inclusive environment for volunteers.
- Collect Volunteer Engagement and Experience feedback from volunteers through surveys, exit interviews, and informal check-ins to assess satisfaction and pinpoint areas for improvement.
- Work with the Senior Vice President to address feedback and implement strategies to enhance the volunteer experience.
2. Community Outreach (30%)
- Assist the organization by cultivating relationships with volunteers to support fundraising initiatives.
- Build relationships with community groups, businesses, universities, schools, and professional organizations to promote the volunteer program and secure partnerships.
- Collaborate with the Development Manager to identify and coordinate in-kind donation opportunities and ensure proper donor acknowledgment and tax receipts.
- Collaborate with the Development Manager to coordinate donor and volunteer engagement events, including signature fundraising programs like Over the Edge, Annual Gala, etc.
- Plan and lead assigned annual events e.g. Volunteer Appreciation Event (April), Volunteer Appreciation & Recruitment (June), Volunteer Fall Kick Off (August), the annual Career Exploration Week for professionals and students (April), Annual Gala (April), and the Scholar Celebration (May), and more.
- Develop additional volunteer opportunities in collaboration with individual departments to address specific organizational needs.
- Manage volunteer and intern recruitment and maintain volunteer and intern presence at Reality Changersโ key events and programs, including College Corps and other campus-related opportunities.
- Collaborate with departments to design additional volunteer opportunities to support the organization and engage volunteers with specifi c interests and expertise.
3. Leadership and Supervision (15%)
- Oversee the recruitment, onboarding, placement, and supervision of volunteers, interns, mentors, and tutors.
- Set and evaluate annual goals for volunteer engagement and program effectiveness in line with Reality Changers Strategic Plan.
- Create a tutor evaluation process for staff to assess tutors and their effectiveness.
- Support staff with program-specific training and professional development related to volunteer management.
4. General Administration (5%)
- Manage the volunteer program budget in coordination with the Senior Vice President to meet the annual budget.
- Attend events and activities at Reality Changers locations and other venues as needed.
- Engage with onsite volunteers to make sure their volunteering experience is positive, team orientated and memorialized through photos and videos. Regularly share photos and videos of volunteer activities with the Director, Marketing & Communications.
- Provide regular on-site support during volunteer activities (e.g. Program, Speech Night, etc.) and events to ensure smooth operations and a positive experience for participants.
- Ensure compliance with organizational policies and procedures regarding volunteer participation, safety, and confidentiality.
- Stay updated on best practices and trends in volunteer engagement to continuously improve the program.
- Perform other duties as assigned.
EDUCATION / EXPERIENCE
- Bachelorโs Degree from an accredited four-year college or university is required.
- Minimum of 2 – 5 years of volunteer coordination experience, program management, or a related field required. Preferably in volunteer and recruitment, nonprofit development, and/or donor engagement/fundraising.
- Certification in Volunteer Administration or a similar credential, preferred.
- Must have experience working with volunteer management systems or CRM platforms (e.g. Volunteer Hub, Salesforce), including data entry, reporting, and system maintenance.
- Proficiency in a second language preferred (Spanish).
- Prior experience working with young adults preferred.
- Experience making professional presentations to the business community is strongly preferred.
KNOWLEDGE / SKILLS / ABILITIES
- Experience in analyzing data to track volunteer program performance and use insights to drive improvements in recruitment, engagement, and retention.
- Proven experience pulling reports, analyzing trends, and using data insights to drive decision-making and improve program outcomes.
- Strong written and verbal communication, organizational, and computer skills.
- Understanding of public speaking principles and presentation techniques for orientations, outreach, and community events.
- Strong customer service skills to foster volunteer engagement and build lasting relationships.
- Ability to work effectively across diverse cultures, generations, and constituencies.
- Establish and maintain effective working relationships with others.
- Prioritize tasks, stay organized, and consistently meet deadlines in a dynamic, fast-paced environment.
- Provide encouragement and empower tutors, volunteers, and interns to uphold organizational standards.
- Exceptional attention to detail, follow-through, and ability to manage and meet multiple deadlines.
- Adaptable, versatile, and capable of navigating ambiguity responsibly.
- Proficient in planning, organizing, maintaining records, and adhering to policies and procedures.
- Advanced proficiency in Microsoft Office, G Suite, Zoom, and CRM platforms (e.g., Volunteer Hub, Salesforce preferred).

TRAVEL / HOURS
- Regular evening work is required, e.g. weekday program evenings.
- Occasional weekend work will be expected.
- Occasional travel will be expected. Position will receive reimbursement for mileage.
POSITION REQUIREMENTS
- Valid driverโs license and reliable transportation.
- Ability to pass a tuberculosis test.

SALARY / BENEFITS
As a candidate for this position, starting salary and related elements of compensation will be contingent upon work experience, education, job-related skills, and any other factors Reality Changers considers relevant factors to the hiring decisions for this position.

WORK ENVIRONMENT
Reality Changers operate in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. Reality Changers employees are temporarily operating in a hybrid model—working in-person from the office and remotely from home.
PHYSICAL REQUIREMENTS
This job requires the ability to sit, use hands and arms to perform repetitive motions. Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus. It requires moderate dexterity, application of basic skills (calculator, keyboard, hand-eye coordination, etc.) and the ability to bend or stand as necessary.

This position offers an annual salary of $64,542.
